Your role

The incumbent will provide administrative and strategic support for the entity in accordance with outstanding EU grant management standards. The incumbent will perform administrative organisational tasks and process the accurate, timely documentation of files, data, and research information.

Mission:

  • Assist the Research Support Department Head with all aspects of the EU grant management procedures; be responsible for the entire project life cycle and establish workflows and procedures
  • This includes the preparation guideline, checklists, tools, verification of budgets during the proposal, grant submission, and grant preparation stages, as well as project control and preparation of financial reporting during project implementation
  • Ensure contract and project implementation in full compliance with the funder's rules and requirements
  • Ensure project management reporting, quantitative and qualitative, according to defined formats and project management guidelines
  • Ensure that EU and FNR grants are pre-reviewed, submitted and followed up after submission
  • Responsible for developing, implementing and improving FNR and EU best practices, grant administration processes and procedures
  • Provide advice and guidance to Research Facilitators and principal Investigators, and provide a Helpdesk function for FNR and EU framework advisory/compliance/interpretation by collecting information and identifying needs concerning the administration of EU funding to establish, communicate, and exchange best practice policies and procedures
  • Engage with stakeholder communities (internal and external) and coordinate EU working groups, building up partnerships and networks
  • Establish and update coherent central procedures for research data retrieval related to EU and FNR Grants
  • Contribute to internal cooperation and communication between the Research Support Department and other research entities, projects and central services
  • Contribute to developing funding models in the research information management system

Your profile

  • University degree preferably in management studies or equivalent professional experience in an area relevant to research evaluation
  • Long track record and experience in grant administration in an EU support/research office function or within the European Commission Services
  • Experience with European Commission funding mechanisms, rules, and requirements, focusing on developing procedures, workflows, templates, and guidelines
  • Experience coordinating competitive research grants and applications to competitive research grants
  • Experience maintaining accurate records including data entry, extraction, analysis, monitoring and compliance
  • Ability to liaise with relevant internal and external stakeholders and build constructive and effective relationships
  • Good command of IT tools for data retrieval and data processing
  • Excellent organisational skills with attention to detail and accuracy
  • High flexibility and ability to prioritise workload, keep deadlines, and work on different tasks in parallel.
  • Very good communication, organizational and problem-solving skills, as well as interpersonal skills
  • Excellent command of English and fluent in French and/or German
